What’s new

What’s new in TLSS 2.2.1

  1. 2.2.1 — E-way bill before saving: a sales bill at or above the e-way bill limit shows the steps Transport → Vehicle → Check, makes the e-way bill online and then saves itself with the number (e-invoice companies get the IRN with it). Company profile → GST settings → “E-way bill when saving”: Ask (default) / Must / Off.
  2. 2.2.1 — 🖨 Print e-way bill in the portal’s layout (QR, Part-A, Part-B, barcode) — from the bill, the e-way bill window or the register. The invoice shows the e-way bill “valid till” date, and the vehicle number only once.
  3. 2.2.1 — E-way bill register: Generated / Pending counts, a filter (All · Pending · Generated) and “Newest first”.
  4. 2.2.1 — Customer & Supplier: tick it in the party and that party comes in both sales and purchase bills — one ledger, one balance.
  5. 2.2.1 — Reverse charge (RCM): in a purchase tick “Reverse charge” (ticked by itself for metal scrap from unregistered sellers) — the GST is worked out but not added to the supplier’s bill; a self-invoice (RCM/0001) is made, GSTR-3B fills 3.1(d) and 4A(3), Display → GST Reports → RCM Register, and the inward e-way bill (from URP) can be made online.
  6. 2.2.1 — E-invoice: “E-invoice Pending” shows only for companies under e-invoicing (Company profile → GST settings), or bills that already have an IRN.
  7. 2.2.0 — CA sync both ways: in the CA’s copy of your books the CA can now enter payments, receipts, contra and journals (numbered CA-PMT-, CA-RCT-, CA-CTR-, CA-JNL-) and new ledgers, and change a voucher’s party / ledger, narration or GST type (place of supply: CGST + SGST ↔ IGST) — never its number, date or amounts. In your TLSS: Settings → Send to CA → Entries from my CA: ask for each, add automatically, or off (administrator). After each file a note shows 1 · New entries and 2 · Modified entries (high priority); a voucher changed on both sides shows both and asks which to keep; locked GST months are never changed; the bill shows “Modified by CA” and the audit trail “CA: name · file #”. Both you and your CA need TLSS 2.2.0.
  8. 2.2.0 — Add item: 📅 Tax rate by date… now works while adding a new item too — it is saved with the item (Cancel keeps nothing).
  9. 2.2.0 — Settings pages (Vouchers, Printing, Add-ons) no longer jump to the top when you tick a box or switch a feature.
  10. 2.1.0 — GST composition scheme: Company profile → GST settings → GST scheme Composition with the date it starts, business type and rate (trader / manufacturer 1%, restaurant 5%, services 6% — editable). From that date sales bills print as Bill of Supply with “composition taxable person, not eligible to collect tax on supplies”, no GST on sales, inter-state sales are stopped, and GST on purchases goes into the cost. Display → GST Reports → GST CMP-08 (quarterly, due on the 18th) and GSTR-4 (yearly, due 30 June). A warning comes at 90% of the turnover limit. New companies can choose Regular / Composition when they are created.
  11. 2.1.0 — Composition suppliers: a party’s GST registration can be Registered — Composition. Purchases from them carry no GST and no input credit; they show in GSTR-3B table 5 and the ITC report.
  12. 2.1.0 — Tax rate by price: in 📅 Tax rate by date… each date can have a price condition, like Busy — for example 5% up to ₹2,500 a piece, 18% above. The bill takes the rate from the price per unit after discount. Busy import brings the tax category’s dates and price slabs.
  13. 2.1.0 — HSN check: the item form shows the GST description of the HSN / SAC code (from the GST portal’s HSN list, inside TLSS) and warns when the code is wrong or unknown; 🔍 Find the HSN / SAC code by name. Before an e-invoice or e-way bill a wrong code stops the bill with a button to fix it. Display → Audit & Checks → HSN Check lists the month’s items with missing or unknown codes. Company profile → GST settings: turnover above ₹5 crore = 6-digit codes.
  14. 2.1.0 — From the GST portal (with the “E-way bill & e-invoice online” add-on): 🌐 Fill from the GST portal under the GSTIN in a new company, the company profile and the party form fills the name, address, PIN and taxpayer type (Regular / Composition) and warns when a GSTIN is cancelled. New Indian licences get the online GST services free for the first month.
  15. 2.0.1 — Tax rate by date: when an item’s GST / VAT rate changes from a date (for example 12% → 5%), add it in the item (📅 Tax rate by date…) or for many items at once (Items → 📅 Tax rate change). Bills take the rate for their own date; old bills keep the old rate, and editing one shows a warning if the rate is different now. Busy import fills it from the bills. · B2C on every sales bill without GSTIN (B2B with GSTIN), whatever the party’s group · A5 horizontal: short bills fit on one page (terms beside the signature) · E-invoice / e-way bill online: company address, place and PIN checked before sending, with buttons to fix; switching on the online add-on also switches on E-invoice & E-way bill · setup stops on Windows 7 / 8 with a clear message.
  16. 2.0.0 — Audit trail: every new, changed, cancelled and deleted voucher (the old version is kept — see both side by side), changes to accounts, items and godowns, logins and failed logins, backups, printing, imports and settings — with the user, time and PC. Display → Account Books → Audit Trail (filter by user, kind, search; click a line for the details). Open a changed voucher → 🕘 Versions. Each entry is sealed with a SHA-256 chain, so an entry changed or removed outside TLSS shows up. Settings → Audit & security → Audit trail: companies under the Companies Act (GSTIN with C as the 6th character, or ticked) can never turn it off.
  17. 2.0.0 — Returns without an invoice: Settings → Vouchers → untick “Sales and purchase returns must be against a bill”. The return window then offers “No bill” at the top of the bill list: party, several items, quantity and rate, a reason (required) and, for VAT, the original invoice number and date. Needs the permission “Returns without an invoice”. Serial / IMEI items are checked against what that party bought. Display → Account Books → Returns without invoice.
  18. 2.0.0 — Fixes: the registration belongs to the computer (restoring a client’s data no longer brings their registration); login says clearly when a company’s data file is missing and lets the administrator restore a backup or start a new company; the last item of a drop-down list is no longer hidden under the key hint.
  19. 2.0.0 — Printing: A5 bills now print on A5 paper with no extra printer margins, and the VAT columns follow their ticks. When the printer is a PDF printer (Microsoft Print to PDF), TLSS saves the PDF with the bill number, party and date as the file name — change it in Settings → Printing → PDF file name, or save straight into a folder. Ticking a box in Invoice fields no longer jumps the page to the top. Returns: a ↩️ No bill button beside Against invoice.
  20. 2.0.0 — Bills of more than one page (Simple boxed, A4 / A5): each page is a full box to the bottom of the paper, the item heading repeats, “Continued on next page…” and Page x of y; Grand Total and the rest on the last page. Grand Total row without the quantity (see Total quantity), separate ticks for Receiver’s signature and Authorised signatory, Amount heading follows Invoice fields.
  21. 2.0.0 — Data entry: Settings → Vouchers → ⌨️ Data entry fields — choose which boxes Enter stops on and where the cursor starts (for example the Series), for each voucher; Alt+S jumps to the series. After picking a date in the 📅 calendar, Enter goes on. GSTIN / TRN / IFSC / vehicle numbers type in capitals.
  22. 2.0.0 — List search: the search, dates and status filter of a list are cleared when you leave the list or restart TLSS (the sort order is kept); while a filter is on, the bar turns yellow with “Filter on”.
  23. 2.0.0 — Menus arranged: Display has new groups Registers (sales, purchase, returns, receipts, payments, journal), Audit & Checks and Add-on reports. The side menu has an Add-ons section; Vouchers is under Transactions. Settings: Vouchers, Masters, Audit & security pages; print language and print labels under Printing; WhatsApp and Email together as Messages.
  24. 2.0.0 — More: bills of more than one page now in every layout (Classic and Compact too) · new print format A5 horizontal (210 × 148 mm) in Settings → Printing · returns: type the bill number, party or amount in “Against invoice” (purchase returns also find the supplier’s bill number) · switching a feature on in Settings → Add-ons shows the next steps, where it is, a “new” mark in the side menu and a “Finish setting up” card on the dashboard · start animation · faster saving with big companies.
  25. 2.0.0 — Owner Desk (new name for Owner view) · branch sync and Owner Desk now sync about 20 seconds after login, and when TLSS is closed the changes not yet sent go first (at most 10 seconds; without internet they go at the next sync) — the Close TLSS box shows when the last sync was.
  26. 1.7.6 — E-way bill & e-invoice online (add-on): make IRNs and e-way bills straight from TLSS — no JSON upload, no typing numbers back. Once: on ewaybillgst.gov.in → Registration → For GSP choose Chartered Information Systems (TaxPro) and make an API username and password (e-invoice companies do the same on einvoice1.gst.gov.in). In TLSS: Add-ons → turn it on → Display → GST → E-way bill register → GSP login. Then in a sales bill: 🚚 E-way bill → ⚡ Generate e-way bill online (distance 0 = the portal works it out), or 🧾 E-invoice → ⚡ Generate IRN online. Cancel within 24 hours, update the vehicle (Part-B), or tick many bills in the register → ⚡ Generate online. The signed QR prints on the invoice. Sandbox mode tests with TaxPro’s test account.
  27. 1.7.6 — Owner Desk (add-on): a read-only copy of chosen companies on the owner’s laptop. Office PC: Owner Desk page → laptop name, password, tick the companies → Get pairing code. Laptop: install TLSS → Welcome window → Owner’s laptop (or Owner Desk page → Join the office) → code and password. The office sends what changed every 15 minutes while TLSS is open (and on Sync now), compressed and encrypted — support.tlss.in cannot read it. On the laptop the companies can be seen and printed, not changed. Salary data goes only when ticked. 🗑 stops it. The laptop uses a free Owner Desk licence.
  28. 1.7.6 — Faster with big companies: the login shows first; saving a bill no longer redraws every list; Sales, Purchase, Returns and Vouchers show the latest 300 rows (search, a filter, a tab or Show all brings the rest); Low stock alert on the dashboard shows the 12 lowest items; item and party boxes search faster.
  29. 1.7.6 — Tax type for each sales series (GST and VAT): Settings → Vouchers → Voucher series → ✏️ → Tax on bills of this series: Normal, Exempt, Zero-rated / Export, or Out of scope (not in the return). Exempt and out-of-scope bills charge no tax; a red line at the top of the bill shows when a taxed item is in such a series, and the bill still saves. GST: exempt bills print as BILL OF SUPPLY and go to GSTR-1 Table 8 and GSTR-3B; zero-rated to Exports. VAT: exempt bills go to VAT 201 Box 5. Out-of-scope bills stay out of the return and show in the new report Sales not in the return. Changing a series tax type needs the permission “Change series tax type” and is written to the change log (🕘).
  30. 1.7.6 — Locked invoice fields: fields such as GSTIN / TRN and tax on the invoice can be unticked only by users with the permission “Change locked invoice fields”; TLSS asks first and writes it to the change log.
  31. 1.7.6 — Party bills: Bill-by-bill or On account: in the party form, Bills: On account settles the oldest bills first with every receipt or payment, so pending bills always match the balance. New financial year: pending bills carried forward now match each party’s opening balance, and none are carried on cash or bank accounts.
  32. 1.7.6 — Busy import: the preview can update items that already exist (VAT / GST rate, rates, item code) with a list of what changes; a letters alias becomes the item code; Busy sales series become TLSS series (number continues, a series with no tax on any bill becomes Exempt); Busy “bill-by-bill” is kept for each party.
  33. 1.7.6 — Remove or close a branch: Branches → 🗑. A branch with no bills is removed. A branch with bills is closed: its books are kept, it stops syncing, and the branch PC becomes read-only. TLSS takes a backup first.
  34. 1.7.6 — Data folder not found: when the data folder moved to another drive can’t be opened, the window now also offers Choose the folder… and Start with C:\TLSS\Data.
  35. 1.7.5 — Add-ons and branch fixes: only Salary, Trays and Branch sync are paid add-ons now — Barcode, E-invoice & E-way bill, Send to CA, Packing units & manufacturing and Serial numbers / IMEI come with every licence. Branch sync is needed on the licence of every office (head office and each branch). New installation: “This PC is a branch” on the Welcome window — no need to create a company. At a branch only the branch cash / bank can be picked, voucher series show the BR1- numbers, Sync now says what was sent, and other places’ stock shows in the Sales window and in Closing Stock — Item-wise.
  36. 1.7.5 — Branch sync (add-on, same GSTIN): Branches page at the head office: add a branch (its godown, cash ledger, BR1- numbers) and a pairing code; the branch’s TLSS joins with the code and the branch sync password and gets its books. Every 15 minutes (and Sync now) each side sends what changed through support.tlss.in, locked with the password. Branch bills are read-only at the head office; prices changed at the head office wait for the branch to accept; no journals at the branch. Stock transfers go through Goods in transit until the other side presses Received — pick the godown, the quantity received, and short / damaged is written off. Transfers have a Reason. Branch-wise outstanding: Outstanding on the Branches page, a Branch choice in Receivables, Payables, Ageing and Ledger, opening bills can be moved to a branch, and a receipt at the head office against a branch bill counts for that branch.
  37. 1.7.5 — Serial numbers with branches: serials travel with transfers and are ticked when received; an IMEI already in the books of another office is refused at the branch. Bill without serial: in the serial window, with a reason and the permission “Serial items without serial numbers”; such bills are listed under Inventory → Serial numbers to add the serials later.
  38. 1.7.5 — Serial numbers / IMEI (add-on, for mobile phones and electronics): in the item (Items / Stock → ✏️) choose “Serial numbers”: one per unit, or two per unit (IMEI 1 + IMEI 2), the warranty in months, and the serials already in stock. Enter the quantity and press Add: the serial window opens by itself (or press 🔢 / F7 on the line) — scan or type each serial, or paste a list from Excel; it takes exactly as many serials as the quantity. Scan an IMEI in the sales bill and its item comes in. TLSS refuses to sell a serial that is not in stock at that godown, to buy one already in stock, or to take back one not sold to that customer. Sales Return asks which serials come back. Bills print the serials and the warranty date. Inventory → Serial numbers: search any IMEI — where it is, purchase and sale bills, warranty; lists in stock / sold / warranty ending. Cost stays weighted average.
  39. 1.7.5 — Warnings as a window: when a bill or master can’t be saved (not enough stock, no customer, wrong date …) a small window says why. Correct it (Enter) takes the cursor to the field to fix, OK (Esc) closes it, and Change godown appears when the problem is stock.
  40. 1.7.3 — Trays (add-on, for fruit & vegetable trade): Accounts → Trays. Tray types by supplier and size, price if lost, deposit. In sales bills: trays given and returned; in purchase bills: received and returned to the supplier. Tray entries for returns (good / damaged / lost), lost-tray charge as a journal, deposits on the “Tray Deposits” ledger, party balances, tray ledger, WhatsApp balance. The bill print shows the trays and the balance.
  41. 1.7.3 — CA sync: Send to CA → TLSS CA sync. If your CA uses TLSS (free CA licence), make a password-locked file with what changed since the last one. The CA cannot change your bills: they send back journals (you accept or reject each), instructions on bills (mark them Done after you correct the bill) and GST month locks. Salary details go only if you tick them. Send through TLSS: pair once with the CA’s 6-letter code and files go straight to each other through support.tlss.in (still locked with your password); TLSS tells you when a file arrives.
  42. 1.7.3 — Busy import: customers (or suppliers) that Busy keeps in Cash-in-hand or Bank Accounts come in as parties with GSTIN and address; their bills show the full value and the money as a receipt. Companies imported earlier are corrected once when they open. Sale quotations from Busy now come in as quotations.
  43. 1.7.3 — CA licence: free for CAs to keep copies of their customers’ books; billing in the CA’s own companies is an add-on.
  44. 1.7.2 — Salary (add-on): Accounts → Salary. Employees with monthly or daily wage, OT rate, salary ledger and expense account. Attendance for the month (or day-wise), advances, salary sheet and slips; Post salary makes the journal, Pay salary pays from cash or bank on the date you choose. Settings → Vouchers & Masters → Salary: day counting, weekly off, OT and day-wise attendance on or off.
  45. 1.7.2 — Date of a new voucher: Settings → Vouchers → Date of a new voucher: today’s date, or the last voucher date (the date of the last bill saved in that series, for every user). An older date shows in orange.
  46. 1.7.2 — Licence: users and companies are unlimited; only the number of PCs is counted. Settings → License shows the renewal price for your PCs and add-ons.
  47. 1.7.2 — TLSS Server: salary data reaches only users allowed to see salary (and admin); other users cannot read or change it.
  48. 1.7.2 — fixed: calendar inside some dialogs did not open; names in the employee form now get capitals like other names.
  49. 1.7.1 — Stock in the item list: in sales, purchase, quotation and stock transfer windows the item list shows the stock of each item in the bill’s godown (less what is already on this bill) — red when nothing is left, orange at the reorder level. Under the entry line only the warnings stay (stock will go negative, no MRP). Settings → Vouchers turns it off.
  50. 1.7.1 — Item description: Settings → Vouchers → Item description → Description box for: all items, or selected items only — tick Description in bills in the item (for serial numbers, models, warranty). Off by default.
  51. 1.7.1 — Quotations: the same search and filter bar as Sales and Purchase — search by number, customer or item, registered / unregistered, From–To dates, click a column to sort, count and total of the rows shown.
  52. 1.7.1 — Payment / Receipt: the account list also has Capital (drawings, e.g. house expenses), current assets and loans & advances, and accounts in your own groups such as Investments. “(blocked)” now shows only for accounts that are really blocked.
  53. 1.7.1 — TLSS Server: Forgot admin password? works on PCs connected to the server too (the request code is for the server PC). A new server with no users starts with admin / 1234 — TLSS then asks for a new password.
  54. 1.7.1 — VAT bills (UAE and Gulf): the Simple boxed bill has VAT % and VAT amount on each line, a Date of supply when it is not the bill date, VAT in your currency on foreign-currency bills, and no India-only parts (E-way bill, transport, state, Indian declaration, default interest terms).
  55. 1.7.1 — fixed: on Simple boxed / Compact A4 bills the Grand Total row no longer grows with the empty space of the page.
  56. 1.7.0 — TLSS Server (several PCs, one data): one PC of the office keeps the companies and the other PCs work on the same data at the same time, over the office network (LAN / Wi-Fi) — see the topic TLSS Server. Each user can be limited to selected companies. A company or year made on one PC appears on the others without logging in again.
  57. 1.7.0 — Bill header: Settings → Printing → Invoice fields → Header of the bill: logo size and position, your own letterhead image across the top (with a footer image if you like), or blank space for pre-printed letterhead paper. The GSTIN still prints under the header.
  58. 1.7.0 — UPI QR with the bill total: Settings → Printing → Invoice format → Payment QR on bills → UPI QR. Every bill, quotation and proforma prints its own QR with its total and number. Scan the ₹1 test QR first to check the name. Only an administrator changes the UPI ID (with the owner’s OTP when set), and every change is logged.
  59. 1.7.0 — Printers: Settings → Printing → choose the printer for A4, A5 and thermal from the list of printers on this PC. If a chosen printer is gone, bills go to the Windows default printer.
  60. 1.7.0 — Missing voucher numbers: Display → Account Books → Missing Voucher Numbers lists gaps and duplicate numbers in every number series; click a series to see the bills on both sides of a gap. The GSTR-1 page warns when the month’s sales numbers have gaps.
  61. 1.7.0 — Busy import: vouchers cancelled in Busy come in as cancelled (amount 0, no effect) and are counted as cancelled in GSTR-1 table 13. Importing again adds only the ones not yet in TLSS.
  62. 1.7.0 — also: no company name shows before you log in; ← → move between Yes / No buttons; Save & print hides while “Print the invoice?” is on; logging in opens the company and year you used last; “Printed from TLSS” stays on the bill’s page.
  63. 1.6.5 — GSTR-1 fixes: bills brought from Busy with money received in the bill (Busy’s Amount Settlement) now keep their full value — the money becomes a receipt against the bill, balances unchanged. The JSON no longer sends an invoice value of 0. Freight and other services (SAC 99…) go with UQC NA. Units go with their GST unit (MTR, ROL…) — taken from Busy, or set by clicking a unit in Settings → Masters → Units. Documents issued (table 13) shows each number series separately. Busy “with tax” sale types come in as rates including tax. The GSTR-1 Excel matches the GST offline tool: real dates, UQC NA for services, no item names in HSN, “Regular B2B” in CDNR.
  64. 1.6.5 — option: 0% items in bills to registered customers can go in 4A at 0%, as Busy does (tick on the GSTR-1 page). The download buttons no longer print with GSTR-1. Cash and bank accounts can’t be used as a charge or deduction in a bill — use “Received now”. Receiving against a bill has “Use the bill date”.
  65. 1.6.4 — WhatsApp / SMS API: Settings → WhatsApp → How to send → WhatsApp / SMS API sends bills straight from TLSS through Bot Master Sender or any provider, set up like Busy. The bill goes as a PDF link that works for 15 days. For an official (Meta-verified) number, TLSS can send every new sales bill by itself. The bill shows ✓ once sent; messages left and the plan end date show in Settings.
  66. 1.6.4 — Total quantity: every voucher window shows the total quantity unit by unit (free quantity included). To print it, tick Total quantity in Settings → Printing → Invoice fields.
  67. 1.6.4 — Logo: the Simple (boxed) invoice prints the company logo.
  68. 1.6.3 — Profitability: Display → Profitability shows sales, cost and profit item-wise, bill-wise, party-wise, group-wise and month-wise. ⚖ switches the cost between weighted average, FIFO and last purchase price. Freight on purchase bills is shared by quantity. Needs the “See cost and profit” permission.
  69. 1.6.3 — Invoice fields: Settings → Printing → Invoice fields — tick what prints, for each document and paper; change the order and headings of the item columns and the font size. Fields a tax invoice must show stay on.
  70. 1.6.3 — Rates including tax: tick “Rate incl. tax” to print rates with GST / VAT included — on 3-inch thermal bills too, with a tax summary under the total.
  71. 1.6.3 — Custom fields: Settings → Masters → Custom fields — up to 5 each for bills, items and parties (for example PO No, Transport, Brand, Route). Type them in the windows and print them.
  72. 1.6.3 — Free items: tick Free on a line (or press F in the Qty / Rate of the entry line) in sales, purchase and their returns — no rate or tax, the stock still moves, the bill prints FREE. Give the same item or another item free; its cost comes off that bill’s profit.
  73. 1.6.3 — Search, filter and sort: Items, Parties, Sales, Purchase, returns and Vouchers have a search box and filters (group, area, stock, status, date from–to) above the list. Click a column heading to sort. The count and total of the shown rows appear on the right.
  74. 1.6.3 — Supplier-wise stock: Display → Stock → Supplier-wise Stock groups items by the supplier they were last bought from, with reorder level, short by, last purchase and last rate. Tick Only below reorder to see what to order.
  75. 1.6.3 — Data folder: Settings → Backup → Data folder moves the data to another drive on this computer, with a backup and a check of every file.
  76. 1.6.3 — fixed: on a new installation the welcome / new company screen appears again.
  77. 1.6.2 — Esc asks first: pressing Esc on a voucher that is not saved asks Go back (Esc), Hold (H) or Discard (D). Empty or saved windows close as before.
  78. 1.6.2 — keyboard scrolling: on Settings, Add-ons, Help and other long pages use ↑ ↓, Page Up / Page Down, Home / End, and Ctrl+↑ ↓ to jump card to card.
  79. 1.6.2 — stock reports: Closing Stock — Group-wise shows the quantity (unit-wise), and the ⚖ button values stock at Weighted average, FIFO or Last purchase price (the books keep the weighted average).
  80. 1.6.2 — Busy import: vouchers changed in Busy after they were imported can be updated — tick Update … vouchers changed in Busy. A backup is taken first.
  81. 1.6.2 — Not saved box from the keyboard: ← → move between Discard, Hold and Go back, Enter presses the one with the ring, Tab stays inside the box.
  82. 1.6.2 — Settings tabs by letter: press Ctrl+F, then the underlined letter — C Company profile (C again: Companies), V, U, L, P, I, B, A, S… ← → move along the tabs.
  83. 1.6.2 — videos in Help: help topics, the page title (▶ Video) and voucher windows open the matching TLSS video on YouTube.
  84. 1.6.1 — same item, new line: typing an item that is already in the bill adds a new line, so a different rate stays separate. Scanning a barcode still adds to the existing line.
  85. 1.6.1 — Forgot admin password? on the login screen: the dealer sends a one-time approval code for this computer and you set a new password.
  86. 1.6.1 — barcode scanning for everyone: scan barcodes in bills and add barcodes to items without the Barcode add-on. Labels and weighing-scale barcodes stay in the add-on.
  87. ▶ YouTube button in the top bar, next to 🛟 Remote support — the TLSS video tutorials.
  88. MRP is the sale price (Settings → Vouchers): sales invoices and quotations take the item’s MRP as the rate, with rates including tax.
  89. Your dealer in Settings → License: a licence sold through a dealer shows the dealer’s name and number for renewals.
  90. Enter key in Receipt, Payment, Contra and Journal: Enter goes field by field and the last field saves. In a journal, Enter after the account fills the balancing amount; Enter on an empty account line goes to the narration.
  91. Hide out-of-stock items: tick it under the item list in a sales invoice, quotation or stock transfer to leave items with no stock in that godown out of the item list.
  92. Walk-in Customer in every new company, with the walk-in details switched on. Walk-in names now get capital first letters.
  93. Amount column in bills: type the Qty and the Amount, and TLSS works out the Rate (Amount ÷ Qty). It is on in purchase bills; for sales invoices and quotations turn it on in Settings → Vouchers. The amount stays exactly as typed.
  94. Enter key in masters: in the item, party / account, group, unit, godown, user and company windows Enter goes to the next field, Enter on the last field saves, F2 saves from any field, and Backspace in an empty field goes back.
  95. Alt+M / Alt+C in voucher windows: Alt+M opens the selected party, account or item to change it; Alt+C creates a new one.
  96. Full-page A4 prints: bills and vouchers printed on A4 fill the page — the item table stretches and the totals and signature sit at the bottom.
  97. The proforma invoice prints in the same layout as the sales invoice — letterhead, bank details, payment QR, terms and signature — titled “PROFORMA INVOICE — not a tax invoice”.
  98. Companies in UAE and other countries see their own currency symbol everywhere in bill windows.

Getting started

Create a company · nature of business

  1. Settings → Companies → + Create company.
  2. Step 1: country, tax system (GST, VAT or unregistered) and nature of business — tick Trading, Manufacturing and/or Service.
  3. Step 2: name, state, financial year (only the year — month and date come from the country), books start date and tax ID.
  4. Nature of business can be changed later in Settings → Vouchers; country and tax system can't.
  5. An administrator can delete a company: Settings → Companies → 🗑️ on its row, then type the company name to confirm. This can't be undone.

▶ Let’s start (install) — YouTube

Where are the settings?

  1. Everything is under ⚙️ Settings at the bottom of the left menu.
  2. Tabs: Company profile (name, address, logo, stamp, signature), Companies, Vouchers (nature of business, item description, groups, units, tax rates), Users & permissions, Language, Printing, Import / Export.

▶ Introduction — YouTube

Activate or renew TLSS (licence)

  1. Open ⚙️ Settings → 🔑 License. It shows who TLSS is licensed to, the edition, users, companies and the valid-till date.
  2. Send the Machine ID shown there and your licence number to your TLSS dealer.
  3. Paste the activation code the dealer sends back and press Activate. Renewals and upgrades use the same box.
  4. New installations run as a 30-day trial with all features. When the trial or licence ends, TLSS becomes read-only: reports, printing and export still work, but new entries and changes are blocked.
  5. Moving to a new computer: press Release licence from this computer, then send the release code and the new Machine ID to your dealer.

Passwords and login lock

  1. To change your own password: Settings → Users & permissions → 🔑 Change my password. Type the current password and the new one twice.
  2. A user still on the default password 1234 is asked to choose a new one right after login.
  3. There is no minimum length, but very easy passwords (1234, password, the username…) are refused.
  4. After 5 wrong passwords that user is locked for 5 minutes. Other users can still log in.
  5. Forgot a password? The administrator opens Users & permissions, clicks Edit on that user and types a new password.
  6. Forgot the administrator’s password and no other user can manage users? On the login screen click Forgot admin password?, send the request code to your dealer, paste the approval code they send back and type a new password. The code works once, on that computer only. Company data is not touched.
  7. Passwords are stored scrambled (hashed) — nobody, not even TLSS support, can read them back.

Users, permissions and authorisation

  1. Settings → Users & permissions → + Add user. Give a username and a password.
  2. Pick a role or tick permissions: create vouchers, edit, cancel, create accounts & items, manage users.
  3. When a user without permission tries to edit or cancel, a permitted user can type their login once to authorise it. Every edit is logged on the voucher.
  4. Each user changes their own password with 🔑 Change my password. A user still on 1234 must choose a new password at login, and 5 wrong tries lock that user for 5 minutes. (See “Passwords and login lock”.)

Second language on screen and bills

  1. Settings → Language (or the 🌐 button on top).
  2. Second language on screen: pick a language or Off. It shows under menu and report names on this device.
  3. Second language on prints: invoices, receipts and quotations print headings in English and this language. Change any word under Print labels.

Add-ons: switch features on or off

  1. Settings → Add-ons lists the extra features: Barcode, Price categories & cost, Multi-currency, E-invoice & E-way bill, Send to CA & GST lock, Messaging, Owner OTP, Packing units & manufacturing, Billing & shipping address, Walk-in customer details, MRP-wise stock and Proforma invoice.
  2. Only the administrator can switch them. A feature that is off hides its menus, buttons and fields — nothing is deleted, and switching it on brings everything back.
  3. A new company starts with all of them off, so the screens stay simple. A company from an earlier version keeps on what it already uses.
  4. 🔒 means the feature is not in your licence edition — ask your dealer. MRP-wise stock is in every edition; Proforma invoice needs Standard or Enterprise.

Keyboard shortcuts

  1. F1 help · F2 change report dates · F3 create a master in the open window (party, item, account, group, unit or tax rate — depends on where the cursor is) · F4 Display (reports).
  2. F5 new payment · F6 new receipt · F7 new journal · F8 new sale · F9 new purchase.
  3. Ctrl+L ledger — inside a voucher window it shows the selected party's ledger · Ctrl+S save · Ctrl+P print (in a sales bill: save & print) · Ctrl+F settings · Ctrl+H hold the bill · F12 (hold) cost and profit in a sales bill · Esc close / go back.
  4. Bill entry line: item → Enter → quantity → Enter → rate → Enter adds the line; a barcode scan adds it at once.
  5. In Display: 1–7 open a section, ↑ ↓ move, Enter open, Space tick rows to check them, Esc back.

Software update

  1. Settings → ⬆️ Software update shows your TLSS version. Press Check for updates, or tick Check for updates by itself once a day.
  2. When a new version is ready, TLSS downloads the Setup and asks before installing. Your companies and settings are kept.
  3. Every update is checked with TLSS’s digital signature first. If the signature does not match, TLSS will not update — try later or call support.

Contact TLSS support

  1. Call or WhatsApp TLSS support on 9744888977.
  2. Keep TLSS open and tell us the company name and what you were doing when the problem came.
  3. For licence or activation questions, also send the Machine ID from Settings → 🔑 License.

Bills and vouchers

Create a sales invoice

  1. Open Sales Invoice in the left menu and click + New invoice.
  2. Pick the customer. Press F3 (or + New customer) to create one without leaving the bill. The current balance shows under the name.
  3. Add items in the entry line at the top: item → Enter → quantity → Enter → rate → Enter, or just scan the barcode. F3 there creates a new item. (See “Fast item entry line”.)
  4. Customer returned something? Click ↩ Items returned by customer and add those items — a credit note is made and the bill shows the net amount.
  5. Under Received now pick Cash or Bank and enter the amount (Full amount fills the whole bill). Leave 0 for a credit sale.
  6. Press Ctrl+S (or Save invoice). The window stays open for the next bill. After saving, TLSS asks Print the invoice? (Enter prints, Esc skips). When that question is turned off, a Save & print button shows instead; Ctrl+P always saves and prints, in the format set under Settings → Printing.

Fast item entry line in bills

  1. Sales and purchase bills have an entry line above the item list. The number on the left is the line number the next item gets.
  2. Type or pick the item → Enter → quantity → Enter → rate → Enter. The item drops into the list and the cursor goes back to the item box.
  3. Scanning a barcode adds the item straight away with quantity 1 — no Enter needed. Scanning an item that is already in the bill adds to that line’s quantity; typing the same item again adds a new line, so a different rate stays separate.
  4. For discount, description or a change, click the line in the list below and edit it there. + Add row still works the old way.
  5. Bill done? Press Enter on the empty item box (End of list) to move on to the bill discount or narration.
  6. A new item can be made from the entry line with F3 (or + New item) — it is picked in the entry line after saving.

Enter a purchase bill

  1. Open Purchase and click + New purchase.
  2. Pick the supplier (F3 creates a new one) and type the supplier's invoice number.
  3. Choose the godown (material centre) where the goods arrive.
  4. Add items, quantity and purchase rate. Input tax is taken only when the supplier is registered.
  5. Paid now: pick Cash or Bank and the amount, or leave 0 to keep it on credit.
  6. Ctrl+S saves; the window stays open for the next bill.

▶ Purchase — YouTube

Sales or purchase return (credit / debit note)

  1. Open Sales Return (or Purchase Return) and click + New sales return.
  2. Pick the original invoice / bill, the item and the quantity coming back.
  3. To pay the money back now, fill Refund now with Cash/Bank and the amount (Full return value fills it). Leave 0 to reduce the bill balance instead.
  4. Ctrl+S saves the credit note (sales) or debit note (purchase).
  5. Returns taken inside a sales bill (↩ Items returned) are changed by cancelling that credit note and entering it again.

  3. For a customer or supplier choose the bill in Against bill — the pending amount fills in. Choose On account to keep it unadjusted.
  4. Enter the amount and narration, then Ctrl+S.
  5. Quick way: in the Sales Invoice or Purchase list use the 💰 Receive / Pay button on a pending bill. Money can also be taken while billing with Received now / Paid now.

  2. Journal is for adjustments (depreciation, salary payable…): Vouchers → 📋 Journal.
  3. Put each account in a row with Debit or Credit. The difference shows below — both sides must match.
  4. F3 in a row creates a new account.

Quotations

  1. Quotations → + New quotation; pick the customer, items and valid-till date.
  2. Save as draft or Save & mark sent. Print it for the customer.
  3. When the customer agrees click Convert — a sales invoice opens with the same items.
  4. Need a proforma invoice instead? Turn on the Proforma invoice add-on and use + New proforma (see “Proforma invoice”).

▶ Sales — YouTube

Proforma invoice

  1. Turn on Proforma invoice in Settings → Add-ons (Standard and Enterprise editions).
  2. Quotations → + New proforma. Pick the customer and items as in a bill. It gets its own number series (PI-0001…).
  3. A proforma makes no stock, ledger or GST entry. It prints as PROFORMA INVOICE — not a tax invoice.
  4. Switch between Quotations and Proforma invoices with the buttons at the top of the Quotations page.
  5. When the order is confirmed, open the proforma and press Convert — a sales invoice opens with the same items, and the proforma is marked Converted.

Hold a bill, and bills kept when TLSS closed

  1. In a sales or purchase bill press ⏸ Hold (Ctrl+H) to park it and start another. Resume it from ⏸ Held.
  2. TLSS also keeps the bill on screen every few seconds. If TLSS closes or the power goes, that bill is in Held next time, marked on screen when TLSS closed.
  3. TLSS asks Close TLSS? before it closes.

Send a bill on WhatsApp or Telegram

  1. Needs Messaging on in Settings → Add-ons. Email too: press 📧 Email (Windows app).
  2. Open the bill and press 💬 Send. Choose WhatsApp or Telegram beside the number.
  3. The bill’s PDF is copied: in the chat press Ctrl+V to attach it, then Send.
  4. The usual app and the message text are in Settings → WhatsApp.

Email bills, statements and reminders

  1. Windows app, with Messaging on in Add-ons. Set up once in Settings → Email: pick the provider (Gmail, Outlook, Zoho…), type the email and its password and press Send test email.
  2. Gmail needs an App password (Google Account → Security → 2-step verification → App passwords). The password stays encrypted on this computer.
  3. After saving a bill, or in any voucher or quotation, press 📧 Email. The PDF is attached; the customer's email is saved for next time.
  4. Settings → Email → Statements and payment reminders sends each ticked customer their statement or pending bills as a PDF — handy at month end.
  5. Send to CA → 📧 Email to CA mails the CA package. Every mail is listed under Sent emails.

Item discount and bill discount

  1. In a sales or purchase bill, type the discount in the Disc column of a line: 5% for a percentage or 20 for an amount.
  2. Discount on the bill (below the items) takes 5% or an amount off the whole bill. It is spread over the items before tax.
  3. Enter moves item → quantity → rate → discount → next item. On a new empty row choose End of list (or press Enter) to finish the items.

Rates including GST (MRP / final price)

  1. In a sales or purchase bill, below Tax, choose Rates without tax (tax is added on top) or Rates including tax (the rate is the final price).
  2. With rates including tax TLSS works the taxable value and the tax backwards, so the bill total is exactly the price × quantity. CGST and SGST stay equal.
  3. The item’s price stays the same in both. Example 150 at 5%: without tax the bill is 157.50; including tax the bill is 150.00 (taxable 142.86 + tax 7.14).
  4. The default for new bills is in Settings → Vouchers → Rates in bills (without tax, unless you change it). The printed tax invoice shows the rate and taxable value without tax, as GST requires.

Bill sundries: freight, packing, cash discount

  1. Turn on Bill sundries in Settings → Add-ons. Freight & Forwarding, Packing Charges, Insurance and Cash Discount are ready; add your own with + Add bill sundry (name, adds or deducts, before or after tax, ledger, default amount or %).
  2. In a sales invoice or purchase bill press + Discount, freight or other charge under the bill discount, pick the sundry and type an amount (500) or a percent (2%).
  3. Before tax: spread over the items and taxed with them — GST on freight charged in the invoice. After tax: added to or taken off the total as it is.
  4. Each sundry posts to its own ledger and prints in the bill totals. Editing or holding a bill keeps its sundries; Busy and Tally exports carry them.

Ship-to address and walk-in customer details

  1. Turn on Billing & shipping address in Add-ons. In a sales invoice or quotation press 🚚 Ship to under the customer, type the name and address (or copy it from a party). It prints as “Shipped to”; GST still goes by the billing party.
  2. Turn on Walk-in customer details. When the bill is to a walk-in / cash customer account, boxes for the customer's name and mobile show. Typing a known mobile fills the name.
  3. Tick Walk-in / cash customer account in a customer to make it one (a party named “Walk-in …” or “Cash customer” already is).
  4. Display → Analysis → Walk-in Customers lists the names and mobiles with their bills — export to Excel or copy the mobiles for offer messages.

Item description on bills

  1. Settings → Vouchers → tick Item description on bills and choose 1 to 5 lines.
  2. Each line in sales, purchase and quotation windows gets a description box. The item's own description (from the item master) fills in by itself and can be changed per bill.
  3. The description prints under the item name on A4, A5 and thermal bills.

Voucher series and numbering

  1. Settings → Vouchers → Voucher series & numbering. Every voucher type has a Main series.
  2. + Add series: pick the voucher type, a name (for example Counter 2 or Export), prefix, suffix, starting number and digits. {YY} in the prefix adds the year, like INV/26-27/0001.
  3. Tick Use by default to make it the series a new voucher starts with. ✏️ changes the prefix or suffix of Main too.
  4. In the voucher window a series box appears next to the number when a type has more than one series — each series has its own running number.

Edit or cancel a voucher

  1. Find the voucher in its list (Sales Invoice, Purchase, Vouchers…) or open it from a report.
  2. Click ✏️ to edit — the same window opens with the old values. Save changes keeps the voucher number.
  3. Click ✕ to cancel; the number stays in the Day Book marked CANCELLED.
  4. A bill with receipts or returns against it can't go below what is already settled, and stock can never go negative.

Invoice terms, bank details and payment QR

  1. Settings → Printing → the 🧾 Invoice format card at the top.
  2. Type your Terms & conditions, one point per line. They print at the bottom of every sales invoice. Default terms for new quotations are set here too.
  3. Fill in the account name, bank, branch, account number, IFSC and UPI ID, and upload your payment QR code.
  4. Tick where they should print — sales invoices, quotations, 3-inch thermal bills — and click Save invoice format. Save & print a sample invoice shows how it looks.

Print formats and printers

  1. Settings → Printing.
  2. Pick A4, A5 or 3-inch thermal for each document (invoice, purchase, receipts, quotations, reports) and the number of copies.
  3. Type the printer name for each format; it shows on the print page so staff use the right printer.
  4. To print straight to the default printer without the print window, start Chrome with --kiosk-printing (steps are on that page).
  5. In a voucher view you can also pick another format for one print.
  6. Bill layout (Settings → Printing → Invoice format): Classic — roomy, larger text (default), Simple boxed — GSTIN on top, Billed to / Shipped to and a tax table, or Compact.

Allow sales below zero stock (per user)

  1. By default TLSS refuses a sale that would take stock below zero.
  2. To allow it for someone: Settings → Users & permissions → ✏️ the user → tick Sell below zero stock.
  3. That user can then save such a bill; TLSS shows a note that stock went below zero. Other users can keep working — only entries that make the stock go even lower are stopped for them.

Items, parties and stock

Create or edit an item

  1. Items / Stock → + New item. To change an item click ✏️ on its row.
  2. Group, unit and tax rate have + New links — or press F3 in the window: F3 on Unit makes a unit, on the tax box a tax rate, anywhere else an item group.
  3. Enter HSN / code, purchase rate, sale rate, MRP (with tax), reorder level and opening stock for each godown. A warning shows if the sale rate with tax is above the MRP.
  4. With the Barcode add-on: Barcode and More barcodes (other barcodes of the same item, separated by commas — any of them scans to this item).
  5. Description fills in on bill lines when item description is on. Service items keep no stock; manufacturing adds a bill of materials.
  6. 🚫 Block for transactions stops the item being used in the ticked voucher types. To rename or delete an item group, open Settings → Vouchers and click the group.

▶ Masters — YouTube

Create or edit a customer, supplier or account

  1. Parties & Accounts → + Add party (customers / suppliers) or + Add account (expenses, banks, loans…). ✏️ on a row edits it.
  2. Fill name, group, GST / VAT registration and tax ID, address, area, phone, email and credit days.
  3. + New group (or F3) makes a group of your own under any standard group, for example "Bakery customers" under Sundry Debtors.
  4. Opening balance with Dr / Cr is the amount as on the books start date.
  5. 🚫 Block for transactions stops the account being used in the ticked voucher types.
  6. To rename, move or delete an account group of your own, open Settings → Vouchers and click the group. The standard groups stay as they are.

Block an item or account for some transactions

  1. Open the item (Items / Stock → ✏️) or the account (Parties & Accounts → ✏️).
  2. Open 🚫 Block for transactions and tick the voucher types — for example block an item for Purchase only, or a customer for Sales and Receipt.
  3. Save. Blocked masters disappear from those windows and saving with them is refused.
  4. Old entries stay as they are and can still be edited. The Blocked tab on Parties & Accounts lists every blocked account.

▶ Masters — YouTube

Merge duplicate parties, accounts or items

  1. Parties & Accounts (or Items / Stock) → 🔀 Merge duplicates. Admin only.
  2. TLSS lists likely duplicates (same name ignoring spaces, dots and case; same GSTIN / tax no.; same barcode). Press Pick, or choose any two yourself: Merge this (removed) and Into this (kept). ⇄ swaps which one is kept.
  3. Check the summary and press 🔀 Merge. All vouchers, the opening balance, opening bills and opening stock move to the one kept. ↩ Undo last merge works until you close the window.
  4. Not allowed: removing a system account (Sales, Cash, tax ledgers…), accounts in different currencies, items with different units.

Barcodes: scan, make and print labels

  1. Scanning in bills and the Barcode field in items work in every edition. Labels, weighing-scale labels and “make barcodes for all items” need the Barcode add-on (Settings → Add-ons).
  2. In the item, scan the pack into Barcode, or press Make one. Other barcodes of the same item (another pack, another company’s code) go in More barcodes, separated by commas.
  3. In a bill, scan into the entry line at the top — the item is added with quantity 1, or its quantity goes up if it is already in the bill.
  4. Print labels from Items / Stock → 🏷️ Labels: choose items, how many and the label size.
  5. Weighing-scale labels: Settings → Vouchers → Weighing-scale barcodes. Give each loose item its scale code and tick Loose item.
  6. New barcodes can be numbers only (EAN-13) or letters and numbers (Code 128, e.g. TL-GRO-00001): Add-ons → Barcode → New barcodes made by TLSS.

MRP and MRP-wise stock

  1. Give the item’s MRP in the MRP (with tax) box of the item. If the sale rate with tax goes above it, the item window warns you.
  2. Same item, different MRP at the same time (old stock at MRP 35, new stock at MRP 37)? Turn on MRP-wise stock in Settings → Add-ons.
  3. In a purchase bill each line then has MRP and Sells at boxes. Each MRP is kept as its own stock with its own sale price.
  4. In a sales bill the oldest MRP is picked first (FIFO) with its own sale price. When more than one MRP is in stock, choose another from the MRP box on the line.
  5. Items / Stock → 🏷️ MRP-wise stock shows the stock of each MRP. Printed bills show the MRP of each line.
  6. Tip: shops selling at MRP should set the bill to Rates including GST, so the sale price is the final price.

Packing units: box, carton

  1. Open the item (Items / Stock → ✏️). Under 📦 Packing units pick up to two units — for example Box containing 12 and Carton containing 48 of the main unit.
  2. Give each packing unit its own purchase price and sale price. Left empty, the price is the main-unit rate × contents.
  3. On a bill, a unit box appears next to the quantity for that item: pick Box and type 2 — the rate changes to the box price.
  4. Stock is always kept in the main unit: 2 Box of 12 = 24 Pcs out of stock. The bill prints “2 Box”.

Customer price categories and special prices

  1. Turn on Price categories & cost in Settings → Add-ons first.
  2. Settings → Masters → Customer price categories: A Wholesale, B Retail, C Direct customer (rename them, up to 5).
  3. In each customer choose the Price category. In the item give a price for each category, or a markup % on the purchase rate. The item window shows margin and profit for each price, and warns above MRP.
  4. In a sales bill the rate fills in for that customer. Change it by hand and save — TLSS offers Keep as special price for that customer and item.
  5. Special prices are listed in the customer’s details; × removes one.

Cost, margin and price-change alert (F12)

  1. Needs Price categories & cost on in Settings → Add-ons.
  2. In a sales bill hold F12 to see each item’s last purchase price, the margin, and the profit on the whole bill. Lines sold below cost turn red.
  3. Only the administrator and users with See cost and profit can see it. Settings → Vouchers can show it always, or as a code word.
  4. When a purchase bill has a new rate, Purchase price changed opens with every selling price of that item and a suggested new price (same profit % or same profit amount). Change any of them and press Update prices, or press Later (💲 in the top bar).

Foreign customers, currencies and exchange rates

  1. Settings → Vouchers → 💱 Multi-currency: tick it and add the currencies you use with a default rate (1 USD = ₹ …).
  2. In the party (Parties & Accounts → ✏️) pick the Country and Currency of bills. A party outside your country is treated as export / import — no GST or VAT on the bill.
  3. On that party's bill a yellow bar shows the currency and the exchange rate. Type rates in their currency; the books are kept in your currency.
  4. In Receipt or Payment the amount is typed in their currency at the day's rate. If it differs from the bill's rate, the difference goes to Exchange Rate Difference automatically.

Move stock between godowns

  1. Godowns → ⇄ Stock transfer (also on Items / Stock and Vouchers).
  2. Pick From godown and To godown (⇅ swaps them).
  3. Add items and the quantity to move — the stock in the source godown shows on each row. Load everything adds all stock.
  4. Ctrl+S saves. Stock value doesn't change, only its place. Need a second godown first? Godowns → + Add godown.

Stock journal and production

  1. Items / Stock → 📦 Stock journal.
  2. Items out: consumed, damaged or written off. Items in: produced, repacked or received.
  3. For manufacturing tick Manufacturing in Settings → Company profile → Nature of business and add a bill of materials to the finished item.
  4. Then use 🏭 Production in the stock journal: pick the item and quantity and click Fill from bill of materials — components go out and the finished item comes in at their cost.

Physical stock count

  1. Items / Stock → 🧮 Physical stock. Pick the date and godown.

  2. In a locked month no bill or voucher can be added, changed or cancelled.
  3. Unlock needs the administrator and, when it is set up, the owner OTP. Every lock and unlock is written in the list below.
  4. If a month already sent to the CA changes, it shows changed — send again.
  5. Optional: lock each month by itself on the 11th or 20th of the next month.

Send to CA — Busy, Tally and Excel

  1. Turn on Send to CA & GST lock in Add-ons, then Settings → Send to CA.
  2. Pick the month (or other dates) and what to include: the Busy data file (.DAT), Tally XML, Excel reports and GSTR-1. Save CA package makes one .zip; 📧 Email to CA sends it (Windows app).
  3. In Busy: Data Import (XML) → choose the .DAT file. Sending the same dates again? Choose Modify Existing Voucher → Series + Date + Vch No, not Add New Voucher.
  4. In Tally: Import → Masters and then Import → Transactions with the same XML file.
  5. Busy settings (series, sale types) are under Busy settings on the same page. Stock journals, transfers and opening balances are not sent.

Data, backup and support

TLSS Server — several PCs, one data

  1. Server PC: choose one PC that stays on during work, connected to the router by a LAN cable. When installing TLSS on it, tick This PC is the TLSS Server. It runs as a Windows service, even before anyone logs in.
  2. On the server PC, TLSS connects to the server by itself. Log in as admin and activate the licence there (the server PC’s Machine ID). The number of PCs that can work at the same time comes from the licence (trial: 3).
  3. Pair a PC: on the server PC open Settings → Backup → 🖧 TLSS Server… and press Pair a new PC — a 6-digit code shows. On the other PC (TLSS installed without the tick), open 🖧 TLSS Server… on the login screen → Find the server (or type the address shown) → check the key → type the code → Use the server’s data.
  4. Every PC logs in with its own user. A bill saved on one PC shows on the others within a second or two. If two PCs change the same bill, the later save is refused and shows the other PC’s version.
  5. Settings → Users & permissions → a user → Companies this user can open limits a user to selected companies (with all their years).
  6. The server backs up every day by itself (the last 30 are kept, in its data folder → Backups). Back up the server now and a Speed test of the network are in the TLSS Server window.
  7. If the server PC is off or the network breaks, the other PCs show “not reachable” and wait; they carry on when it is back. Use a LAN cable for the server PC — weak Wi-Fi makes TLSS slow.

Backup, restore and backup password

  1. Open Settings → 💾 Backup (Windows app). Press Choose folder…, turn on Automatic backup, or press Back up now.
  2. Best: keep the backup folder on another drive, a pen drive or a Google Drive / OneDrive folder, so a broken disk does not take the backups too.
  3. Backup password: press Set password…, type it twice and tick that you have written it down. New backups are then locked (encrypted).
  4. Write the password down and keep it safe. Nobody — not even TLSS support — can open a backup if the password is lost.
  5. Restore from backup… asks for the password when the backup is locked. TLSS keeps a copy of the present data first, and goes back to it if the restore fails.
  6. Turning the password off makes new backups unlocked; backups already made keep their password.

Company data: SQL Server, godowns, delete all data

  1. When creating a company choose where its data is kept: a file on this computer, or Microsoft SQL Server (Test connection first).
  2. Companies shows each company’s Code (C1, C2…) — its data file is C1.tlssdb.
  3. Godowns: click ✏️ on a godown to rename it; an unused godown can be deleted.
  4. Company Profile → Delete all data removes entries (or masters too) and keeps the company.

Financial years: new year, ledger of all years, lock

  1. Companies → 📅 New financial year (or the FY list in the top bar → + New financial year).
  2. Closing balances become the new year’s openings: ledgers, unpaid bills of each party, and stock in each godown at its closing value. Incomes and expenses start at zero; the year’s profit goes to Profit & Loss A/c.
  3. Switch years from the FY list in the top bar. If the old year is changed later, a bar offers Update opening balances.
  4. In any ledger press All years to see it across every year. Lock year makes a finished year read-only.

Import / export items and parties in Excel

  1. Settings → Import / Export.
  2. Export to Excel downloads items, parties or other accounts as an .xlsx file. Blank template gives the headings with one sample row.
  3. Fill the sheet in Excel and click 📥 Choose Excel file (or drop the file). Column order doesn't matter — TLSS reads the headings.
  4. Tick Update records that already exist to change rates, addresses and blocking of existing names. A result window lists any row that was skipped and why.

▶ Import from Busy — YouTube

Import from Busy

  1. In Busy, export the masters (all masters, with opening balances) and the vouchers using Data Export in XML. You get files ending in .DAT (or .xml) — big companies may give many files; choose them all together.
  2. In TLSS, create or open a company whose financial year starts on the same date as the Busy year, with the same currency and tax system — best a new, empty company.
  3. Import / Export → 🅱️ Import from Busy → choose the files. TLSS shows what will come in and any problems before it changes anything; press Import.
  4. Big imports show a progress window with each stage and the count done. You can keep watching, or press Cancel — nothing is changed. If TLSS is closed in between, the company goes back to how it was before the import.
  5. Accounts and items are matched by name; ones already in TLSS are used, not changed. Importing the same file again skips vouchers already imported. If likely duplicates are found, TLSS suggests 🔀 Merge duplicates.
  6. After importing, compare the trial balance, stock summary and party outstanding with Busy. Undo this import puts the company back as it was. Not imported: orders, stock journals and transfers, sub-ledgers, batches, serial numbers, cost centres and alternate units.

Owner verification (OTP) before deleting

  1. Turn on Owner OTP in Settings → Add-ons first.
  2. Settings → Users & permissions → Owner verification (OTP) → Set up with an authenticator app.
  3. On the owner’s phone open Google or Microsoft Authenticator → + → scan the QR code, and type the 6-digit code it shows.
  4. Then deleting a company, deleting all data and restoring a backup ask for the owner’s code. Cancelling vouchers and deleting godowns can be ticked too.
  5. Phone not with the owner? Open “Phone not with you?” in the code box and send the request code to your dealer; the approval code works once.

Remote support — let your dealer see TLSS

  1. Click 🛟 in the top bar (or Help → Remote support) and press Start. Read the 9-digit code to your dealer.
  2. The dealer opens support.tlss.in and types the code. They can only see TLSS — not the rest of the computer.
  3. If they ask for control, press Allow control only while you are on the phone with them. Stop sharing ends it at any time.

Register a complaint (support ticket)

  1. 🎫 in the top bar, next to 🛟 (or the link at the bottom of this help window). A red number on 🎫 means support has replied.
  2. Pick what it is about, write the subject and what happened, check your name and mobile, and press 📨 Send complaint. You get a ticket number at once.
  3. The reply from support and the status (Open, In progress, Waiting for you, Solved) show in Your tickets — press 🔄 Check for replies.
  4. Only what you typed is sent, with the TLSS version, and — if ticked — the licence number, machine ID and Windows version. Your accounts are never sent.
  5. In the browser version the complaint opens in WhatsApp instead.

Licence types: subscription or perpetual + AMC

  1. Subscription: TLSS works till the valid-till date; after that it becomes read-only until it is renewed.
  2. Perpetual + AMC: TLSS keeps working for ever. The AMC date decides new versions: versions released after the AMC ends need an AMC renewal; bug-fix updates of your own version stay free.
  3. Settings → License shows your licence type and dates.
  4. Register TLSS (Windows app): your company name, contact, mobile, email and place — only if you tick “I agree”. Accounts data is never sent. Change or withdraw it in Settings → License.
  5. Add-ons follow the licence: Basic, Standard and Enterprise each include their own add-ons, and the dealer can add more. A 🔒 add-on is not in your licence — ask your dealer.
